Job Duties

Responsible for preparing university schedule of classes for fall, spring and summer sessions; preparing examination schedules in cooperation with various college deans or their representatives; schedules and manages the use of classrooms during periods when classes are normally in session; work requires extensive personal contact with University faculty and staff primarily to resolve problems related to scheduling, needs of faculty, availability of facilities, etc; assigns lecture and laboratory section numbers; arranges for printing of class and examination schedules; reshuffles room assignments after registration due to unanticipated enrollment; etc. and performs other duties as required.

Experience Requirement

General Experience: Four (4) years of progressively responsible clerical work experience which involved public contact.

Specialized Experience: Two (2) years of progressively responsible experience in the planning, coordination and preparation of schedules or timetables to allow several activities to be conducted simultaneously. This experience must demonstrate that the applicant possesses the ability to schedule the use of rooms, facilities or equipment to enable the simultaneous scheduling of events or activities and to arrange and select course of alternate action should conflicts arise.

Quality of Experience: Possession of the required amount of experience will not in itself be accepted as proof of qualification for a position. The applicant’s overall experience must have been of such scope and responsibility as to conclusively demonstrate that he/she has the ability to perform the duties of the position for which he/she is being considered.

Substitutions Allowed

Substitution of Training for General Experience:

(a) Completion of a clerical curriculum at a business or technical school may be substituted for General Experience on a month-for-month basis up to a maximum of two (2) years;

(b) Successful completion of study at an accredited college or university may be substituted for General Experience on a year-for-year basis up to a maximum of four (4) years.

Physical and Medical Requirements

Applicants must be able to perform the essential duties and responsibilities of the position, effectively and safely, with or without reasonable accommodation.

Internal Complaint Process (Administrative Review)

Applicants who do not agree with an action taken on their application must file an internal complaint with the System Director of Human Resources, in accordance with the University’s Administrative Procedure A9.140. The internal compliant form must be completed and contain the specific reasons(s) supporting the request for review. Complaints must be postmarked within seven (7) working days from the date of notice and sent to: University of Hawai‘i, Office of Human Resources, Civil Service Employee Relations Section, 2440 Campus Road, Administrative Services Bldg. #2, Honolulu, Hawai‘i 96822. A change as a result of the internal complaint will not affect the employment consideration of referred applicants or another applicant’s appointment to the vacancy.
